Standard Operating Procedures Development.
Standard Operating Procedures (SOPs) are what smart organizations are using to create consistency in their processes and tasks. SOPs consist of clearly documented, step-by-step procedures and checklists that are easy for employees to follow and greatly reduce the chances of mistakes. When mistakes occur, they give managers a REAL basis for redirecting or disciplining an employee because there’s little room for an employee to say, “I didn’t know I was supposed to do that.”
Associates was engaged by Action-aid Malawi under the Adolescent Girls and Young Women program being funded by Global Fund to develop Standard Operating Procedures for the Association of Young People Living with HIV and Aids commonly referred to as Y+ Network in the areas of Human Resources, Finance and Gender. The assignment involved assessing the operations of Y+ network to identify the best practices and gaps,revising the constitution to reflect governance system, developing policy manuals on finance, gender and human resource including organogram, consolidating training manuals on mentorship, establishing referral system to treatment and care and recommending areas of improvement in the operations of Y+ network.
The process involved consultations with the Y+ members in establishing the operating mode in actual implementation which was was linked to HR, Finance as well Gender aspects. Consultations extended further to Y+ partners in in establishing gaps and best practices that later constituted in the recommendations. The constitution review was done through a two day workshop that was graced by representatives of the the Network who through our facilitation revised the governance system to which we managed to put a draft constitution that will later be adopted through an AGM.
